These Terms and Conditions (“Terms”) apply to all meeting room hire bookings made with Acorn Corporate Solutions Ltd trading as Acorn Business Solutions (“Acorn Business Solutions”, “we”, “us”, “our”). By confirming a booking, you (“the Client”, “you”, “your”) agree to be bound by the following Terms.
1.1. Meeting rooms are available strictly by advance booking only.
1.2. A booking is not confirmed until full payment has been received and a confirmation email has been issued by Acorn Business Solutions.
1.3. The meeting room is reserved for the duration specified on the booking confirmation.
1.4. Extensions to the booking period are subject to room availability and may incur additional charges at the prevailing hourly rate.
2.1. Only the number of attendees specified in the booking confirmation may attend or use the meeting room.
2.2. The meeting room must only be used for lawful business or professional purposes.
2.3. Clients must not sublet, share, or transfer use of the meeting room to any third party.
2.4. The Client is responsible for ensuring that all attendees behave in a respectful and appropriate manner while on the premises.
3.1. The Client will be held responsible for any damage, loss, or missing items arising from their use of the meeting room, including any damage caused by their guests or representatives.
3.2. Any damages or missing equipment will be charged at the full repair or replacement cost, payable upon invoice.
3.3. Acorn Business Solutions is not responsible for any loss or damage to personal property or equipment brought onto the premises by the Client or attendees.
4.1. Cancellations or amendments to bookings must be made in writing (email accepted) and received by Acorn Business Solutions at least 72 hours before the scheduled booking start time.
4.2. Where less than 72 hours’ notice is provided, no refund or credit will be issued unless the same meeting room is re-hired for the same period.
4.3. Refunds, where applicable, will be processed to the original payment method within 7–10 working days.
4.4. Requests to reschedule bookings are subject to availability and may incur an administrative charge.
5.1. Clients may access the meeting room no earlier than 10 minutes before the scheduled start time and must vacate no later than the end time stated in the booking confirmation.
5.2. Additional time used beyond the booked duration will be charged at the applicable hourly rate, subject to room availability.
6.1. All Clients and attendees must comply with health and safety regulations and any instructions issued by Acorn Business Solutions staff.
6.2. Smoking, vaping, or the use of open flames is strictly prohibited on the premises.
6.3. The consumption of alcohol or hot food in the meeting rooms is not permitted unless specifically authorised in writing.
7.1. Acorn Business Solutions shall not be liable for any indirect, incidental, or consequential losses arising from the use or inability to use the meeting room.
7.2. Our total liability for any claim arising from a booking shall not exceed the total amount paid for the hire of the meeting room.
8.1. Acorn Business Solutions shall not be liable for any failure or delay in providing access to the meeting room due to circumstances beyond our reasonable control, including but not limited to fire, flood, power outage, pandemic restrictions, or staff shortages.
9.1. Acorn Business Solutions reserves the right to cancel a booking or terminate the use of a meeting room if the Client breaches these Terms or engages in any behaviour deemed inappropriate or unsafe.
9.2. In such cases, no refund will be issued, and the Client may be required to vacate the premises immediately.
10.1. These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales.
10.2. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
